What the hardware was actually for
A fingerprint terminal solves one specific problem: it makes it hard for one person to clock in as another. That is a real problem and the hardware genuinely solves it.
Everything else about a terminal is cost. The device, the install, the enrolment session for every new starter, the queue at shift change, the reader that stops recognising a worn or wet fingertip, the replacement unit, and another purchase for every new site.
What replaces it
A phone-based system moves verification from the reader into a policy. Instead of one check fixed by the device you bought, each workplace can require the signals that actually work there.
A warehouse where satellite reception is poor can lean on workplace network verification. An outdoor site can use location with a geofence. A site with a real impersonation risk can require the employee’s registered device on top of either.
Setting it up
The practical sequence is short, and none of it involves a purchase order.
- Create a workplace and set its location or expected network.
- Choose the verification policy for that site.
- Set working times and grace periods per weekday.
- Invite employees; they install the app and are ready for the next shift.
- Review the first week of records before you change anything else.
What it costs to run either way
The honest comparison is not device price against subscription price. It is total cost per site over a few years, and the terminal side has line items that rarely appear in the original quote.
A terminal needs mounting and power near the door, someone to enrol every new starter, and someone to notice when it stops working — which it will do quietly, producing a day of missing records nobody spots until payroll. Multiply all of that by the number of sites, and again every time you open one.
A phone-based system moves the cost into a subscription that scales with headcount, and removes the per-site step entirely. Adding a location means creating a workplace. For a business with one site and no plans to grow, the terminal can still win; for almost anyone else, the second site is where the maths turns over.
The failure modes are different, and worth knowing
Terminals fail by breaking: a dead unit, a reader that will not recognise a worn or wet fingertip, a queue that makes people late for the shift they are clocking in to.
Phone systems fail differently. A flat battery means somebody cannot clock out. Poor reception in a basement means a location check that cannot complete. Both are real, and both have answers — a workplace network policy instead of GPS indoors, and a correction workflow for the missed clock-out, reviewed by a manager and stored beside the original record rather than replacing it.
What matters is that the failure modes are recoverable without losing the record. A day of attendance lost to a broken terminal is genuinely gone; a missed clock-out is a request a manager approves.
What you give up, honestly
A fingerprint reader ties attendance to a body part. A phone ties it to a device. Registered devices narrow that gap and do not close it entirely.
If a regulation specifically requires biometric identification, a terminal is still the right answer. If what you need is a reliable, reviewable record of who started work where and when, the hardware is solving a problem you may not have.
The other trade is that employees need a phone. In most workplaces that is already true; in some it is not, and that is worth checking before committing.
A reasonable way to decide
One site, a stable team, and biometrics mandated by policy: keep the terminal. Several sites, a changing team, no hardware budget, or staff who work away from a fixed door: phone-based attendance fits better, and you can test that claim on a free plan before spending anything.
